Open & Closed Invoices

If desired, you may wish to utilize the concept of Open and Closed Invoices.  An Open Invoice means that there's work left to be done.  You may, for example, be holding the invoice open for product to arrive, or you may be waiting for items to be boxed, etc.

Once you've wrapped up work on the invoice and all items are shipped, the invoice is closed by checking the "Closed" checkbox.  The "Closed" checkbox is located in the upper right hand corner of the screen (for the large invoice size setting) or in mid screen to the right of PO Date (for the small invoice size setting.)

You can tell whether an invoice is Open or Closed by the Status Indicator on the upper right hand corner of the Main Invoice Screen.  If an invoice is open, the Status Indicator shows "Open."  Once an invoice is closed, the Open indicator is turned off.

If desired, Level VI users can configure the program to automatically lock the invoice when it is closed.  To turn on this function, see Basic Program Set-up.

Two functions are available to assist you in dealing with Open and Closed invoices.  The first adjusts the Main Invoice Screen so only Open invoices are displayed.  It is reached by selecting INVOICE TOOLS and FILTER FOR OPEN INVOICES.  This is a handy feature, limiting invoices only to those that need your attention.

The second function closes all Open Invoices.  It is reached by selecting INVOICE TOOLS and CLOSE ALL OPEN INVOICES.  Use this when work has been completed on all invoices and you want to quick way of closing them.

Note that while using the Open Invoice filter, you may be marking some invoices closed.  (Invoices are closed by placing a checkmark in the "Closed" checkbox.)  You'll still be able to see the newly closed invoices as long as the current filter is set.  However, if you re-set the Open filter (by re-selecting: INVOICE TOOLS and FILTER FOR OPEN INVOICES), the newly closed invoices will disappear from the display.
